ReferencePro was created by retail background screening firms frustrated with staffing, training and managing a workforce expected to deliver precise, consistent and timely results every business day across every time zone on Earth.

To ensure we deliver, we uphold these quality standards among others:

  • Audit orders while in progress for adherence to our Standard Operating Procedures (SOP). Email us for a copy of our SOP now: ccaddell@referencepro.com.
  • Listen in on research calls in progress and audit completed work.
  • Review orders with inconclusive results and determine what additional steps can be taken prior to closing them.
  • Provide individual researchers with performance feedback in real-time, and review performance notes with the whole research staff daily.
  • Background screen and train all employees prior to putting them on live orders.
  • Require off-shore providers to sign our Memorandum of Understanding detailing our U.S. standards of work, train them on the MOU, and test them before putting them on live orders.

Security

ReferencePro meets and exceeds the National Association of Professional Background Screeners (NAPBS) Standards for Security. We are fully FCRA compliant and Safe Harbor Certified.

All sensitive data are stored electronically and centrally in a high security facility behind state of the art software and hardware protections. We do not store hardcopy, and only encrypted data are distributed among users with permissible purpose.

Here are a few of the things we feel are essential to the safe handling of personal information. Interested and qualified parties may, after signing our NDA, obtain a copy of our Security Policy paper.

  • Routinely salt orders and terminate immediately anyone who does not pass a salting, and immediately review all orders closed by the terminated researcher since his/her last salting. Re-verify immediately any questionable orders.
  • Restrict access to full Social Security Number and Date of Birth to certified employees and obfuscate for all others.
  • Restrict off-shore providers to developing contact information and assisting with language and paying local fees except where physical delivery of information is required to obtain results.

Flexibility

ReferencePro has possibly the most articulate set of domestic and international work rules in the industry however that doesn’t mean we are rigid. We understand the goal is to complete verifications and references, not to turn them around no matter what in three days.

The cornerstone of our approach is called EVP+3 which means we must first Establish the Verifying Party, whether that is an individual or a department, before we consider our attempts “solid.” After EVP we make, at a minimum, three solid attempts – one per day for three sequential business days. If we haven’t had a response from the EVP after three solid attempts we carefully review the efforts made and continue working the order twice a day for two additional days.

As a result of this practice we return conclusive results to our customers 93% of the time; closing orders without the benefit of a reply from the EVP only 7% of the time.

Flexibility means doing all this and adapting as needed to our customer’s requirements. For instance, we may alter the number of attempts made, the conditions under which we close an order, or the formatting of our results. Also, we can customize reference questions for our customers to accommodate each of their customers.
